Nonprofit Bookkeeping Services

Helping Your Mission Thrive with Expert Financial Management

Hi there! I’m Abby, and I’m here to help take some of the financial tasks off of your plate. You probably didn’t start or join a nonprofit organization to do the bookkeeping – but I did! Being a bookkeeper was a long-time goal of mine, and I found my start gaining on-the-job experience at a nonprofit. I quickly discovered a passion for the unique challenges and rewards of nonprofit accounting, especially the opportunity to support organizations making a positive impact.

Following that passion, I founded Nonprofit Bookkeeping Guide, LLC to provide resources and bookkeeping services to nonprofit organizations. By outsourcing your bookkeeping to me, you’ll save time, reduce errors, and ensure compliance. Instead of spending countless hours learning and managing accounting systems, you can focus on your mission. I’ll handle the intricacies of nonprofit accounting, including restricted fund tracking, functional expense reporting, and preparing your financials for public review in the 990. This will free up your staff to do what they do best: make a difference.

Services Offered

Bookkeeping

Bookkeeping services are provided in the QuickBooks Online system. Services can be provided in Cash basis or GAAP compliant Accrual basis accounting.

Bookkeeping Services

Bookkeeping services are tailored to your needs, so each organization’s scope of work will look a little different. Here is an example of what a scope of work for bookkeeping services generally looks like, including the role your organization will play.

  • What I do
    • Enter transactions to QBO
    • Track restricted fund activity and balances
    • Reconcile bank, cash, and other balance sheet accounts
    • Provide financial reports (including grant reporting, if applicable.)
    • Enter year-end adjustments, as applicable
    • Process 1099s
    • Assist in providing financial information for 990 and/or audit
  • What you do:
    • Provide backup documentation and information for transactions (i.e., where it fits into the budget, what program it is related to, what grant or restricted fund it is connected to.)
    • Maintain receipts and other transaction documentation in your organization’s system.
    • Regularly review financial information and reports to ensure accuracy and identify any discrepancies or concerns. (That’s just good internal controls!)
New QuickBooks Online Setup

I will set up your new QBO account and customize it for your nonprofit organization. This can be a first-time accounting system setup for new organizations. Or, if you are transferring from another accounting system, I can help move your current system over to QBO.

Accounting System Revisions

If you’re already in QBO, or planning on making the switch, but the way your system is organized isn’t really working for you, I can help you with updates and revisions. We will find a setup that does work for you by reviewing your chart of accounts, functional expense categories and tracking method, grant tracking system, and make adjustments to improve the final reports. This will be customized to your organization, the work that you do, your funding sources, and other factors, to find a system that works for you.

Payroll

Payroll services are provided through the Gusto payroll system.

Payroll Services

When you’re ready to bring on staff or you’re looking to switch payroll providers, payroll services will take you from setup through regular payroll runs. Payroll service includes:

  • Setting up the Gusto system for your organization.
  • Adding basic information for staff and inviting them to add their own personal information.
  • Bi-weekly payroll run.
  • Assist in adding or removing staff as needed on an ongoing basis and making any updates needed in the system as your organization changes and grows.

Pricing

Now you might be thinking “This all sounds great, but how much is it going to cost me?” Of course, the answer is, it depends. It depends on the size and complexity of the bookkeeping system and the organization itself, the number of transactions, number of restricted funds, whether grant reporting is needed, etc. But I can provide some minimum prices for services and ballpark ranges to give you an idea of what to expect.

Bookkeeping services start at $350 per month for new and small organizations and go up from there. To find a likely range of where your quote will fall, calculate 1-3% of your yearly revenue and divide that by 12 months for monthly fees. This range is a general rule of thumb for bookkeeping services, but not a hard and fast rule.

New Quickbooks Online Setup services start at $250 and increase based on the need for developing or updating the chart of accounts, functional expense tracking, and restricted fund tracking. Another factor is if the setup is for an established organization switching from another system, how complex their system is, and how much previous information needs to be transferred.

Payroll services start at $200 per month and increase based on the number of employees.
